Exhibition Agreement

Once an exhibition proposal has been accepted, artists will receive an Exhibition Agreement and a Moose River Studios Artist Information Package, outlining exhibition dates, rental fees, gallery policies, and responsibilities. The signed agreement and rental payment confirm the exhibition booking.

Gallery Hosting Commitment

Moose River Studios is an artist-centred gallery where meaningful connections between artists and visitors are part of the exhibition experience.

Exhibiting artists are expected to contribute to Gallery Hosting throughout their exhibition.  Artists can expect to contribute approximately 20 hours of hosting over the 10-day exhibition period, although the exact schedule may vary depending on the number of participating exhibitors.

Artists may host their exhibition personally or arrange for a family member, friend, or volunteer to cover their scheduled shifts. If an artist cannot make this commitment, Moose River Studios may be able to provide a Gallery Host for $20 per hour, subject to availability.

Gallery Hosting is an opportunity to welcome visitors, share the inspiration behind your work, answer questions, and help create the warm, engaging atmosphere that makes Moose River Studios a unique place to experience art.

Artists' Gathering

Moose River Studios hosts an Artists' Gathering on the first Friday of each exhibition from 5:30–7:00 p.m. The Gathering celebrates all current exhibitions and provides an opportunity for artists and visitors to meet, connect, and explore the galleries together.

Exhibiting artists are encouraged to attend and engage with visitors throughout the evening. Moose River Studios provides complimentary non-alcoholic refreshments. The focus of the Artists' Gathering is on conversation, community, and the shared experience of art.

Artwork Sales

At Moose River Studios, all artwork sales are processed through the gallery to provide a seamless and professional purchasing experience for visitors. Whether an artist is present or not, gallery staff or volunteers can assist buyers, answer questions, and complete purchases securely.

 

An Artist Sales Service Fee of 5% is deducted from each sale. This fee helps cover payment processing, transaction administration, inventory management, sales tracking, artist settlements, and customer service.​ This service allows artists to focus on their exhibition while ensuring every visitor has the opportunity to purchase artwork whenever the gallery is open. Each artist receives a detailed sales statement and prompt payment within 30 days following the end of your exhibition.

 

Our goal is simple: to remove barriers to sales, support our exhibiting artists, and create an enjoyable, professional experience for every visitor to Moose River Studios.

Artwork Presentation

Artwork should arrive exhibition-ready, including appropriate framing, hanging hardware, or display supports. All work must be safe for public display and suitable for installation within the gallery spaces. No sawtooth hardware permitted.

Installation & Artwork Removal

Artists are responsible for delivering, helping with installing, and helping with removing their artwork during the scheduled installation and dismantling times. Moose River Studios provides basic installation assistance where possible. Artwork not collected by the agreed pickup time may incur storage fees.

Photography

Moose River Studios may photograph exhibitions, artwork, and exhibition events for promotional purposes, including the website, social media, newsletters, and printed materials. Copyright of the artwork remains with the artist.​​

Insurance & Liability Statement

Moose River Studios takes every reasonable care in the handling, installation, and display of artwork. However, exhibiting artists are responsible for insuring their artwork, display materials, and personal property while on the premises.​ Moose River Studios assumes no liability for the loss, theft, damage, or deterioration of artwork or personal property during installation, exhibition, dismantling, or storage.

Cancellation Policy

Gallery rental fees are refundable, less a $50 administration fee, if written notice of cancellation is received 30 or more days before the exhibition start date.

Cancellations received less than 30 days before the exhibition are non-refundable. If Moose River Studios is able to secure a replacement exhibitor for the cancelled exhibition period, a refund may be issued, less the $50 administration fee, at the discretion of Moose River Studios.

Force Majeure

Moose River Studios reserves the right to reschedule or cancel exhibitions due to unforeseen circumstances beyond its control, including severe weather, building emergencies, public health orders, or other events affecting gallery operations. For cancellation due to Force Majeure, all gallery rental costs during that time or incident are refunded in full.
